We are hiring a Payroll Specialist to support multi-jurisdictional payroll operations and ensure accurate, compliant, and on-time payroll processing across CAD, USD, and BBD regions. This position is a 15-month fixed-term contract and requires strong attention to detail, advanced payroll systems experience, and the ability to collaborate with HR and Finance teams.

What You’ll Do

  • Process all employment changes—including new hires, terminations, salary adjustments, and leaves—through HRIS and reconcile each payroll period.

  • Calculate and enter Long-Term Disability (LTD) premiums using the SunLife calculator and update ADP employee profiles.

  • Support the annual T4 process, running required reports and completing reconciliation checks.

  • Assist employees with paystub breakdowns, ADP access issues, welcome letters, password resets, and T4 document requests.

  • Gather and organize payroll support documents from HRIS and email (employment letters, termination docs, leave forms, bonus/commission approvals) for audit needs.

  • Enter payroll data into ADP and maintain accurate profiles for new and terminated employees.

  • Manage ADP Code Reconciliation each payroll period to ensure proper classification of compensation expenses.

  • File payroll tax submissions across all payroll jurisdictions.

  • Process Records of Employment (ROEs) accurately and efficiently.

  • Prepare payroll journal entries for each jurisdiction and collaborate with Finance for accounting accuracy.

  • Assist with general ledger reconciliations and monthly compensation variance analysis.

  • Support year-end external audit requests related to payroll data and employee files.

You Need to Have

  • 4+ years of payroll processing experience, including 2+ years handling multi-country payroll.

  • Proven experience with U.S. payroll regulations, tax compliance, and statutory reporting.

  • Advanced proficiency in ADP (payroll cycles, reporting, employee profile management).

  • Strong understanding of payroll accounting, compliance requirements, and payroll-related financial reporting.

Nice to Have

  • Experience with Microsoft Business Dynamics (Business Central).

  • Familiarity with HiBob HRIS and other HR platforms.
